2003 Rocky Mountain Regional USAT Board Meeting Minutes
The final board meeting for the Rocky Mountain Region USAT
was held December 6, 2003
at the home of Jim Flint. Members
attending were Larry Seidman,
Susan Bowles, Rob Ladewig, Jose Valdes, and Mary Sue
Dickerson. Attending via our newly
purchased conference phone were Penny Bergsten, Phil Hackbarth,
Danny Fisher and Trajan King. Others in attendance were Matt Eagan,
Regional Athletic Development Coordinator, and Scott Poston.
We reviewed the goals for
2003.
- We
had the 2002 ratings and awards by the end of the first quarter. We will use Timberline again for the
2003 ratings and awards. They
should be available by the first quarter of 2004.
- Susan
Bowles was the new person elected to the regional board of directors in
2003.
- The
newsletter requires a person sign up to receive it and after a discussion,
we decided to leave it the same way for 2003 but will research other
methods for 2004.
- We put some pictures on the web site by third quarter,
2003.
- Additional contact of non-sanctioning race directors
will be continued in 2004.
- We
successfully collected regional championship fees from race directors.
- We put
together a pocket size race calendar for goody bags in early season
races. The board decided to do this
in 2004 as well.
- We did
increase the number of sanctioned races within the Rocky Mountain Region.
- There
was some traveling by a regional board member to represent USAT at
regional championships. The board
decided to have one representative from the board at each of the Regional
races during 2004.
- We
increased the level of financial support provided by the region to
regional championship events to $200.
- We
maintained the quality and number of officials available within the region
and even helped out other regions.
- We
developed positive personal relationships with race directors within the
region.
- We
developed a regional budget and stayed within the 2003 budget. We have also developed a 2004 budget.
- We had
an official come to three registered clubs to demonstrate some basic rules
such as drafting and blocking.
Next, the financial report was given. At the time of the meeting we had $7,372.57
income for 2003. We had a balance of
$9,029.22 for a total of $16,401.79. We
spent 4,137.57 giving us a remaining balance of 12,264.27. There are four outstanding expenses for 2003
yet.
The changes to the National Age Group Championship
qualifying procedures were explained.
For the regional championships the top 33% or top 5 will qualify for
Nationals. For other sanctioned races, a
person must be in the top 10% or win their age group. We can designate one other sanctioned race to
have the same qualifying criteria as nationals and for 2004,
it will be Yuba in Utah on June 5, 2004.
We decided the 2004 elections would be either mail-in or
through email instead of just handing them out during our regional meeting in
February.
A board member will be available to help the race directors
with registration. A board member will
be chosen by geographical proximity. We
will give the board member a small stipend for travel expenses.
It was decided to give each board member a fleece pullover
when elected for the second two-year term.
Polo shirts will be provided to any board member representing USAT at
the registration table.
We approved Regional rebates but with a cap of $250. We also approved $100 for a race director to
attend the Race Director’s Conference.
However, anyone wanting to apply for this stipend must let us know
January 31st. There will be
no advanced payment, but after attending, they can request the payment with
evidence they actually attended the conference.
Priority will be given to the first one from each state in the region.
We voted to support the top male and top female in the U23
(Under 23) category each with $300 to attend National championships. The qualifying race will be the Rattlesnake
on June 12, 2004. Jim Flint agreed to throw in an additional
$150 each for the second male and female.
The winners must be full time residents of the Rocky Mountain Region.
